Access Gmail via Your Email Software (e.g. Outlook / iPhone or Android)

If you have set up your email to work in conjunction with Gmail (see this article) and you wish to access your email on your local computer email programme such as Outlook, Thunderbird, Apple Mail, Entourage, or on a device such as iPhone, iPad, or Android, you will need to follow these instructions.  Please note that we do not provide support for email software, but we do offer a set up service if you need help.

Also note that since every email programme is different, the following instructions are broad - you may need to consult the help pages of your email software to check the process of adding a new IMAP Account.


Step One - enable IMAP in Gmail


  1. Sign in to Gmail.
  2. Click the gear in the top right.
  3. Select Settings.
  4. Click Forwarding and POP/IMAP.
  5. Select Enable IMAP.
  6. Click Save Changes if it is not automatically saved

Step Two - Set up Gmail on your email software


Most email software clients will automatically configure the appropriate IMAP connection settings for your account. Below the instructions are additional settings that you may need to use.

  • Open your email software,
  • Click on add new account
  • Choose IMAP (not Pop3)
  • Enter your Gmail account email address & password
  • Incomming / Outgoing server settings:
Incoming Mail (IMAP) Server - Requires SSL
        imap.gmail.com
        Port: 993
        Requires SSL:Yes
   
Outgoing Mail (SMTP) Server - Requires TLS
        smtp.gmail.com
        Port: 465 or 587
        Requires SSL: Yes
        Requires authentication: Yes
        Use same settings as incoming mail server
    Full Name or Display Name: [your name]

    Account Name or User Name: your full Gmail address ([email protected]).
    Email address: your full Gmail address ([email protected])
    Password: your Gmail password

Also, if you're having trouble sending mail but you've confirmed that encryption is active for SMTP in your mail client, try to configure your SMTP server on a different port: 465 or 587.
